1. Check your prices & servings first

The app comes seeded with example products and prices β€” they will not match your bar. Tap ✎ on any product to set your own cost, sell price and servings. Add and remove products to match your shelves.

2. Cost, sell & servings β€” how the money works

Cost = what you pay for one container (a keg, a bottle, a can) excluding VAT β€” the figure on your supplier invoice. Sell = the till price for one serving including VAT. The app strips the VAT from sales when working out GP%, so mixing these up will skew every margin figure. Servings per container = how many serves you get out of it: a 70cl spirit at 35ml measures = 20, an 11-gal keg = 88 pints, anything sold whole = 1.

Off-sales vs in-house: a 70cl bottle sold over the counter as off-sales is 1 serving and the sell price is the bottle price. The same bottle poured in-house is 20 servings and the sell price is the price per measure. Get this wrong and your sales value and GP% will be wildly off β€” it is the most common setup mistake. Off-sales bottles are sold sealed β€” give them the count method "Off sales β€” sold sealed" (in ✎ edit or when adding a product) and the app counts them as whole bottles at 1 serving automatically. An amber off-sales Β· sold whole tag on a product means it is counted in tenths but priced as a whole bottle β€” usually a sign its counting method or servings need fixed.

Off-licence attached? Create a separate "Off Sales" sheet (+ New sheet) β€” the same product can sit on both sheets with different prices and servings, and each side gets its own counts and GP%.

3. Counting

Products appear one at a time in shelf order β€” arrange them with ↑↓ to match your shelves before you start. Tap where the liquid sits for tenths (spirits, kegs); use the +/βˆ’ steppers for whole units. "+ full behind" adds unopened stock of the same product.

4. Deliveries β€” which period?

When logging deliveries, choose when they arrived: since the last count (they count toward the next period) or before the last count (they adjust the period you just counted β€” the usual case when you count first, then enter the week's invoices).

5. Usage, GP% and the till check

After two counts: usage = opening + deliveries βˆ’ closing, valued at your sell prices to give expected sales and GP% (ex VAT). Enter the actual till takings and a waste/spillage allowance for the period and the app shows your surplus or deficit β€” the same reconciliation a professional stocktaker does.

6. Your data

Everything stays on this device β€” nothing is uploaded. Clearing the browser/site data resets the app to the example products, so export a CSV after each count if you want a permanent record.
